Code of Conduct for HCID Events

Purpose

HCID is committed to providing opportunities for engaging, challenging, and enjoyable interactions at events which everyone can participate in an inclusive, respectful and safe environment. All participants are expected to behave with integrity and respect towards all participants attending or involved with any HCID event.


Applicability

This Code of Conduct applies to any HCID event, which may include conferences, open days, research away days, alumni reunions, portfolio sessions, workshops, and any other event or gathering that is organised or hosted by HCID.


The Code of Conduct applies to all participants of events organised or hosted by HCID; both in person and online. It applies to all participants at a HCID event, including all persons attending or involved in any capacity in a HCID event. These may include colleagues, students, commercial booking individuals/organisations, and members of the public.


Since HCID events can take place in a variety of public and private premises, it remains essential participants observe this Code of Conduct, as well as any relevant policies, regulations, and rules and laws, including laws regulating the premises in which the event takes place.


This Code of Conduct also applies to exchanges among participants, or anyone affiliated with HCID sent through HCID communication channels, including social media.


Expected Behaviour

The following behaviours are expected and requested of all event participants:


  • Behaving in a courteous and professional manner.

  • Treating all participants with respect, dignity, and consideration.

  • Valuing a diversity of views and opinions.

  • Welcoming all voices.

  • Being kind to others.

  • Being considerate, respectful, and collaborative in your communication and actions.

  • Alcohol may be present at our events. Please drink responsibly and do not feel obligated to drink.

  • Being mindful of your surroundings and of your fellow participants.

  • Reporting suspected unacceptable behaviour directed at yourself or others.


Unacceptable Behaviour

HCID is committed to making its activities productive and enjoyable for everyone, regardless of gender, sexual orientation, disability, physical appearance, race, nationality or belief. We will not tolerate harassment in any form.


We may consider the following behaviours to be examples of harassment:


  • Sustained disruption of talks or other events.

  • Unwanted physical contact, including touching, pinching, pushing, grabbing, brushing past someone, invading their personal space.

  • Unwelcome sexual attention. This includes sexualised comments, jokes, innuendos; inappropriate touching, groping and unwelcome sexual advances.

  • Deliberate intimidation, stalking or following (online or in person).

  • Photography or recording of an individual without consent. (All of our events will provide the opportunity for participants to opt out of event photography)

  • Continued suggestions for social activity after it had been made clear that such suggestions are unwelcome.

  • Sending or displaying material that could reasonably be image-based abuse, or that may be offensive.

  • Offensive or intimidating comments or gestures; insensitive jokes, pranks or ‘Banter’.

  • Mocking, mimicking or belittling an individual’s disability.

  • Racist, sexist, homophobic or ageist jokes, or derogatory or stereotypical remarks about a particular gender, or ethnic or religious group.

  • Outing or threatening to out someone’s sexual identity.

  • Ignoring, shunning or deliberately excluding someone from a conversation or group.


Consequences of Unacceptable Behaviour

If a participant engages in an inappropriate behaviour, the event organisers may take any action they deem necessary including warning the offender or expulsion from the event without a refund. Anyone asked to stop unacceptable behaviour is expected to comply immediately. If you are being harassed, notice that someone else is being harassed or have any other concerns please contact the organiser immediately.


Legal action may be considered if a criminal offence is suspected and, if appropriate, the matter may be reported to the Police or other relevant authorities.


Reporting Guidelines

Any participant who wishes to report a violation of this code is asked to speak, in confidence, to the organiser of the HCID event or relevant security authority, as soon as possible. If you are not comfortable reporting a violation onsite, you are encouraged to contact the event organiser via email.


If you or someone else is in immediate danger, see something suspicious, or would like to report a security issue or emergency, please contact event security or local law enforcement.
